Records Clerk Job Description:

Under direction of the Chief of Police or his designee, performs record maintenance, data processing, and programming functions.

Duties and Responsibilities:

The Records and Data Entry Clerk shall be responsible for any authorized assignment given by a supervisor, to include, but not limited to the following:

  1. Enters information, police records, correspondence, and other documents into the computer system;
  2. Professionally answers and correctly routes of telephone calls;
  3. Monitors front lobby, addresses questions, and refers visitors as needed;
  4. Maintains computer equipment and data files;
  5. Performs hard-copy and computer filing of documents;
  6. Performs computations and basic statistical analysis daily, monthly, and quarterly as needed/requested;
  7. Monitors police reports for errors or deficiencies;
  8. Types and or generates reports and submits them to the required authorities;
  9. Releases photocopies of police reports as appropriate and collects fees;
  10. Maintains computer equipment and data files;
  11. Assists other village departments with hardware and software problems.

Knowledge, Skills, and Abilities:

  1. Knowledge of Basic English usage and communication skills;
  2. Knowledge of standard office policies and procedures;
  3. Basic alphabetization and filing skills;
  4. Basic mathematical skills;
  5. Ability to comprehend department policies and rules;
  6. Ability to read small printed words and numbers, quickly and accurately;
  7. Advanced computer skills-including ability to operate department’s computer software programs;
  1. Knowledge of microcomputer systems, network operating systems and the use of application programs;
  2. Ability to read and write proficiently;
  3. Ability to maintain confidentiality;
  4. Ability to work varying schedules, including evenings, weekends, and holidays;
  5. Possession of basic computer programming and network maintenance;
  6. Ability to accurately type 35 words per minute preferred;
  7. Ability to work without supervision and to follow directions;
  8. Ability to supervise and direct volunteers;
  9. Ability to operate office equipment such as photocopier, FAX machine;
  1. Ability to establish and maintain effective working relations with city officials, department personnel, volunteers, children, and citizens;
  2. Ability to maintain regular attendance on the job.

Minimum Education and Experience:

  1. Graduation from an approved high school or GED equivalent with one year of proven clerical/office;
  2. Prefer knowledge of and/or experience with law enforcement operations.

Physical Requirements and Working Conditions:

  1. Ability to move objects weighing up to ten pounds;
  2. Must possess correctable hearing;
  3. Ability to sit for long periods of time;
  4. Must possess correctable eyesight;
  5. Perform highly repetitive clerical work of limited variety;
  6. Concentrate for prolonged periods without social interaction;
  7. Open and close various file cabinets;
  8. Apply necessary force to open/close building doors independently;
  9. Exposure to inclement weather conditions traveling to and from work;
  10. Exposure to various lighting conditions;
  11. Exposure to electrical equipment hazards from office equipment;
  12. Exposure to low frequency radiation from CRT monitors;
  13. Exposure to fumes or unpleasant odors from outside air intake ducts, carpet cleaning fluids, etc;
  14. Exposure to temperature variance from sealed system having unplanned equipment breakdown or unforeseen power outages;
  15. Exposure to noise distractions for extended periods from telephones, conversations, computer printers, and typewriters;
  16. Exposure to communicable diseases such as cold or flu viruses;
  17. Limitations on social interaction due to productivity requirements and functional office design.

Equipment Used:

Basic office equipment: including but not limited to, computer workstations, printers, law enforcement networks (CAD, MDT, RMS, etc.), multi-line telephone system, photocopiers, fax, e-mails, etc.
